Your Hotline account has always shown the orders you've placed yourself. Once you've verified your work email address, it can also show you relevant previous Hotline orders placed by colleagues within your organisation. That means you can find what your organisation ordered last time without tracking down the person who ordered it. We've been supplying UK organisations since 1989, and in that time we've watched merchandise buying change hands more often than almost any other purchasing job.

This solves a problem that turns up in almost every organisation that buys merchandise more than once. Somebody in marketing orders the polo shirts. Then they change team, or go on maternity leave, or leave the company. The next person who needs polo shirts starts from nothing: no supplier, no product code, no artwork, no idea what was paid.

What verifying your work email does Verification confirms that the email address you're using genuinely belongs to you and to your organisation. It's a short step and it happens once.

It matters because merchandise orders contain commercial information: what was bought, in what quantity, and at what price. Sharing an email domain with somebody is not on its own enough for us to show you their orders, and it shouldn't be. Verification is what turns a claim about who you work for into something we've actually confirmed, and it's the reason we can open up organisation order history at all.

If you'd rather not verify, nothing changes. You'll continue to see your own orders exactly as before.

What organisation order history gives you A record that outlasts the person who created it. The product, the specification and the artwork stay with the organisation rather than walking out of the door in somebody's inbox.

Consistency across departments. If three teams order separately, being able to see what's already been bought stops you ending up with three versions of the same branded mug in slightly different blues. It also stops two departments paying different prices for the same item in the same quarter.

A faster reorder. Once you can see a previous order, you already know the product, the quantity that worked and the artwork that was approved. Our Buy Again feature then takes you straight back to the product.

Something to hand over. When merchandise buying moves between people, the history moves with it. That's a considerably better handover than a spreadsheet somebody made once and stopped updating.

How does this help if the person who placed the order has left? The order stays with the organisation rather than with the individual. You can see what was ordered, the quantity and the specification, without needing to contact whoever placed it.

Can I re-order something a colleague ordered? Yes. Once you can see a previous order, Buy Again takes you back to the product with the artwork and specification from that order already attached.

Does this stop different departments ordering different versions of the same thing? It helps a great deal. If everyone can see what's already been bought, you're far less likely to end up with three variations of the same branded item, or two teams paying different prices for it in the same quarter.

Do I need a separate account for each person in my team? Each person uses their own account and verifies their own work email address. That's what keeps the access personal and confirmed rather than shared around.
